Privacy Notice

This notice explains how Maria Fethers, trading as Formera Official ("Formera", "we", "us", or "our") collects and uses your personal data when you use the Formera planner. We are the data controller for the information described below.
1. What we collect
- Account data: your email address, password (hashed), and account creation date.
- Planner content: notes, plans, journal entries, and other content you create inside Formera. If you have Sync, this is stored in our cloud database. Without Sync, it is stored only in your browser.
- Usage and device data: basic technical information such as IP address, browser type, and pages visited, used for security and improving the product.
- Support messages: anything you send us by email or contact form.
Payment information (card details, billing address, tax information) is collected and processed directly by Paddle, our Merchant of Record. We do not see or store your card details.
2. Why we use it and our legal basis
- To provide the planner and your account (legal basis: performance of a contract).
- To keep the service secure and prevent fraud (legitimate interests).
- To respond to your support requests (performance of a contract, legitimate interests).
- To improve Formera based on aggregated usage patterns (legitimate interests).
- To send essential service emails such as password resets and receipts (performance of a contract).
- To comply with legal and tax obligations (legal obligation).
3. Who we share it with
- Paddle, our Merchant of Record, for processing payments, subscription management, tax compliance, and invoicing.
- Hosting and infrastructure providers (such as our cloud database and serverless hosting) acting as data processors on our behalf.
- Professional advisers (for example accountants or lawyers) where strictly necessary.
- Authorities, where we are required to do so by law.
We do not sell your personal data.
4. International transfers
Some of our service providers are located outside the UK and EEA. Where personal data is transferred internationally, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
5. How long we keep it
We keep your account and planner data for as long as your account is active. If you close your account, we delete or anonymise your personal data within a reasonable period, except where we need to keep records to comply with legal, accounting, or tax obligations.
6. Your rights
Under UK and EU data protection law, you have the right to access, rectify, erase, restrict, or port your personal data, to object to certain processing, and to withdraw consent where processing is based on consent. You also have the right to lodge a complaint with a supervisory authority (in the UK, the Information Commissioner's Office at ico.org.uk). To exercise any of these rights, email hello@formeraofficial.com. We aim to respond within one month.
7. Security
We use appropriate technical and organisational measures to protect your personal data, including encryption in transit, hashed passwords, access controls, and reputable hosting providers. No system is perfectly secure, but we take reasonable steps to keep your data safe.
8. Cookies
Formera uses essential cookies and local storage to keep you signed in and to store your planner content (when you do not have Sync). We do not currently use advertising or third party marketing cookies.
